How we protect your performance analytics, competitive search intelligence, and organic datasets.
1. What We Collect
When you submit a form on this site, we collect the information you provide — your name, email address, phone number, company, website, growth goals, budget range, and any comments. With it we record how you found us: the referring site, campaign parameters (UTM tags), the page you landed on and the page you submitted from.
If you use the chat assistant, we keep the conversation: the messages you send, the replies you receive, and any name, email address or phone number you give in it, along with your IP address.
Whether or not you contact us, the site runs its own analytics alongside Google Analytics 4. It records the pages you view, how far you scroll, the links and buttons you click, when you start filling in a form, your IP address and, where available, your approximate country, your device, browser, operating system, screen size, language and time zone, the referring site, and campaign parameters (UTM tags). A random visitor identifier is kept in your browser's local storage so that a return visit can be recognised as one.
2. Analytics & Service Providers
We use Google Analytics 4 to understand site traffic; it sets cookies and processes usage data under Google's privacy policy. Our own analytics, described above, is stored in our own database. The chat assistant's replies are generated with OpenAI's models, so the messages you send in the chat are sent to OpenAI to generate those replies. Form submissions are delivered to our team through a trusted third-party email delivery service and stored in our own secured database. We use your information solely to respond to your inquiry, run the chat, prepare your audit or proposal, and understand how visitors find and use this site. We never sell, rent, or trade your information to anyone.
3. Data Retention & Your Rights
We keep lead and inquiry records for as long as they are useful for serving you and analyzing our business. You may request a copy of the information we hold about you, or ask us to correct or permanently delete it, at any time — email contact@optimizeindex.com or call 202 810 7042 and we will act on your request promptly.
4. Client Confidentiality
For active clients: your keyword strategies, competitive research, analytics access, and campaign data are treated as confidential. We never share or repurpose the strategies we build for your business with any competing brand.
5. Text Messaging (SMS)
OptimizeIndex (registered with mobile carriers as Optimize Index), a trade name of Idea Brothers LLC, sends text messages to customers and prospective customers who have asked, on a phone call with us, to hear from us by text. OptimizeIndex collects mobile phone numbers for text messaging only when a customer or prospective customer voluntarily provides the number and agrees, verbally on a phone call with a member of our team, to receive text messages. Giving us a phone number through a form on this site, or in the chat, does not sign you up for text messages; it is a number for us to call back. Text messages only start once you have said yes on that call.
By opting in, you agree to receive text messages from OptimizeIndex about your inquiries, quotes, service information, scheduling, appointment updates, and customer support. Message frequency varies, up to 4 messages per month. Message and data rates may apply. Reply STOP to any OptimizeIndex text message to opt out; you will receive one message confirming it and no further texts after that. OptimizeIndex does not send marketing or promotional text messages. Every text replies to a conversation you started with us. We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Mobile information, including SMS opt-in data and consent, will not be shared with third parties or affiliates for their own marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third party other than Twilio, the messaging provider that delivers OptimizeIndex's texts on our behalf.
